Privacy Policy

This policy explains what personal information hireMarco collects, why we collect it, and what we do with it. It covers two different groups of people: visitors to hiremarco.ai, and the businesses that hire us along with the people whose information those businesses share with us.

1. Information we collect from website visitors

We ask for the minimum we need to review an application and hold a useful first conversation. We do not require you to create an account to browse the site, and we do not ask for payment details on the website.
2. Information we handle for clients
When a business hires us, we build and operate AI systems inside that business. To do that, the client connects us to tools they already use, and we process the information held in those tools on the client's behalf and under the client's instructions.
That can include names and contact details of the client's own customers, staff, and suppliers; message and email history; scheduling and job records; invoices and payment status; and account credentials or access tokens for the client's systems.
For this category, the client is the controller of the information and hireMarco is the processor. We use it only to deliver the services the client has asked for. We do not sell it, we do not use it to train third-party models, and we do not use one client's information for another client's benefit. The specific terms are set out in the written services agreement between hireMarco and each client.
3. How we use information

- To meet legal, tax, and accounting obligations
We do not sell personal information. We do not share it with advertisers. We do not use it for targeted advertising or automated profiling of website visitors.
4. Service providers we rely on
We use a small number of established third-party providers to run the business. Each one only receives what it needs to do its job. Clients can request the current list of providers used in their engagement at any time.

We may also disclose information where the law requires it, where we need to establish or defend a legal claim, or in connection with a sale or reorganisation of the business. If control of hireMarco changes, we will tell affected clients before their information moves.
5. How long we keep information
Applications and enquiries that do not become engagements are deleted within 24 months. Client information is retained for the life of the engagement and for 12 months afterwards, so a client who returns does not have to start over, unless the client asks us to delete it sooner. Records we are required to keep for tax and accounting purposes are kept for the period the law requires.
A client can ask us to delete their data at any time and we will do so, subject to the retention obligations above.
6. Security
We restrict access to client systems and data to the people who need it to deliver the work. Credentials are stored in a secrets manager rather than in documents or chat. Each client's data is kept separate from every other client's. Access to client systems is logged.
No system is perfectly secure, and we do not claim otherwise. If a breach affects your information, we will notify you and, where the law requires it, the relevant authorities.
7. Your choices and rights
You can ask us to:
- Tell you what personal information we hold about you
- Give you a copy of it
- Correct it if it is wrong
- Delete it
- Stop sending you marketing email
- Stop sending you text messages
Email hello@hiremarco.ai and we will respond within 30 days. We will not treat you differently for making a request. Every marketing email we send includes an unsubscribe link. To stop text messages, reply STOP.
If you are in the European Economic Area or the United Kingdom, you also have the right to object to processing, to request that we restrict it, and to complain to your national data protection authority. Where we process your information it may be transferred to and stored in the United States.
8. Cookies
Our use of cookies and similar technologies is described in our Cookie Policy.
9. Children
hireMarco sells to businesses. The site is not directed to anyone under 18 and we do not knowingly collect information from children. If we learn that we have, we will delete it.
10. Changes to this policy
If we change this policy we will update the date at the top of the page. If the change is significant and affects an active client, we will tell that client directly.
